Is this really free?

Yes. The Event Operations & Risk Review GPT is free to access.

Is it safe to upload sensitive event documents?

Yes. Your documents are used only to run your review and aren’t shared or repurposed. We can not view or retrieve your data. You control what you upload, and nothing is published or distributed. It all stays within your OpenAI account. Ensure you have switched off "Improve the model for everyone" within your account settings for extra privacy.

What happens when I request access?

When you request access, we create a Behind the Stage account for you and send your login details. From there, you can access the GPT and run your review.

What documents should I upload?

Upload anything that would matter if something went wrong on site. Common documents include your event management or operations plan, risk register, schedules or run sheets, site maps, traffic and medical plans, comms plans, permits, certificates, and any supporting evidence.

The more complete the document set, the clearer the review.

Will this replace a safety officer, engineer, or other specialist?

No. This tool doesn’t replace competent professionals. It helps ensure the pack you put in front of them is complete, consistent, and evidence led; which makes their review faster and more effective.

Why does the review sometimes take a while?

The GPT runs a thorough, document led review. It reads, cross checks, and refuses to guess when information is missing. That takes longer than a surface level scan, but the trade off is a review you can actually act on.

What if my event pack is larger than the upload limit?

There’s a limit to how many attachments you can upload in one run (10). If your pack is larger, combine documents into a single PDF with clear cover pages for each section (for example: “Risk Register”, “Traffic Management Plan”, “Site Maps”). This helps the GPT treat each section correctly.

Is this just a single review, or can I go deeper?

The first review produces a structured Handoff Pack that captures what’s evidenced, what’s missing, and what needs attention. Once that’s created, you can run a further set of targeted review prompts — more than 20 in total — depending on what you need to examine next.

These include focused reviews on readiness, risk register quality, control to evidence mapping, crowd movement scenarios, and other pressure points. Each review takes the captured information from the Handoff Pack, so you’re not starting from scratch each time.
